Our client is searching for a loyal and committed office manager to assist the Chairman and Managing Director in London.
The office manager will report directly to the chairman and managing director, often acting on the chairman and MD’s absence and/or on his behalf, provides direction and coordinates work requirements with other members of staff.
Duties include (not exclusive too):
- Provide organisational and logistical support to the Chairman to assist him in the successful accomplishment of his various responsibilities
- Oversee the Chairman’s schedule and update it continuously
- Oversee the Chairman’s London residence, chauffeur and London staff
- Perform all necessary actions to prepare for and arrange speaking engagements, conference participation and the like for the Chairman
- Anticipate and plan required organisational duties to ensure the professional, efficient and effective fulfilment of the Chairman’s objectives
- Control and manage paper flow into the Chairman’s London office. This includes reading all incoming correspondence, drafting or preparing final responses to correspondence (independently or as directed by the Chairman), presenting and discussing correspondence with the Chairman, determining which correspondence should or may be handled by other staff, and generally ensuring that all correspondence received in the Chairman’s office are responded to in a timely and effective manner
- Control and manage outgoing paper flow. This includes reviewing, organising, distributing, registering or sending as appropriate all correspondence from the Chairman’s office.
- Write internal memorandums or staff notices, as directed by the Chairman
- Take direction from the Chairman by shorthand and transcribing into final form
- Write reports and prepare in presentation form, as requested by the Chairman, take minutes of meetings
- Deal with telephone calls
- Travel when needed with the Chairman and Managing Director
To apply, you must:
- Be proficient in all Microsoft platforms, especially Excel, Outlook and Word
- Have excellent written and spoken English (Arabic is a bonus)
- Have at least 10 years’ experience in a similar role
- Have a minimum typing speed of 55 wpm
The ideal candidate must be punctual, have a charismatic personality with a good sense of humour, conscientious and hardworking, bright and articulate, well organised and able to communicate effectively both verbally and in writing, as well as on their feet.
