Executive/Personal Assistant to Chair and Founder - Monaco - To Start ASAP-€115k+

The Executive Assistant position is a 1:1 role providing high-level administrative support and assistance to Chairman in all facets of the business

This is the sole EA support to the Chairman and supports him exclusively. The other members of the small team of 7 mange their own schedules.

Whilst this role will not include much travel with the Chairman you will need to be hands-on for the Chairman when he is traveling which can include contact out of hours and over the weekends.

Duties include but are not limited to;

  • Complex Diary Management
  • Extensive travel arrangements on commercial and private jet (domestic and international).
  • Handling confidential documents
  • Confidential correspondence and communication
  • Monitor and follow up deadlines set for the management team to ensure that tasks are completed within the specified timeframe
  • Event management
  • Expense payment tracking and approval
  • Act as authorised signatory for releasing weekly payments from all Family Office bank accounts and personal bank accounts
  • Preparing timesheets for Chairman’s approval
  • Liaising with directors and senior executives both across the existing Family Office network and new business opportunities
  • Liaising with the finance team in Australia regarding expenses, signing off documents and other finance related matters
  • Office and house management (including technology, managing contractors and other service providers)
  • Personal projects – liaising with family, house team, friends, medical practitioners, and assets under ownership (property, cars)
  • Liaising with the Captain of family’s superyacht, private jet operator, travel agencies, hotels, and other service providers
  • IT hardware/devices familiarity (PC, iPad, Android)
  • IT software/application management (ideally Windows, MS Office suite, Dragon, Dropbox, etc)
  • Video conferencing management (ideally Zoom and Teams)

Ideal candidates will be required to have:

  • Prior experience working in a fast past global EA role working across multiple time zones
  • Exposure to working at C-Suite level in a professional setting
  • Excellent written and spoken English
  • Confident communicator with strong decision-making skills
  • Ability to be flexible with time to be on hand out of core working hours for the Chairman when travelling over different time zones
