PA for UHNW Client – Start ASAP – Salary £55,000+

Efficient, hard-working and able to conduct their work with the utmost professionalism and diligence. You will have a calm and helpful manner with a can-do attitude (essential).

A top all-rounder with strong organisational skills & logistics and aware of the standard that would be expected supporting at this level. Responsible for smooth coordination between London household staff; driver, security, chef, and assisting with schedules.  Excellent diary and travel management, with the ability to see around corners and take over some projects. The role will involve being on call outside of normal working hours as is normal in a role of this level. 

Currently based in Totteridge, the Director is now in the process of purchasing a residential property in Great Missenden with equestrian facilities as well as live-in grounds for staff. The residence will be used as a country base and will be used for occasional periods of stay. This is a big project that will require supervision of renovations, as well as the set-up and management of the yard and staff. Assisting project management will be a big part of this job.

Able to commit for the long term and pick up on strong relationships quickly – you will be a person to be relied upon to get the job done and grow in the role. 

Requirements:

  • Must have a minimum of 4 years’ experience as a PA, with experience working for UHNWI individuals
  • At least 3 years’ experience in house management – comfortable managing staff and assisting with home renovations
  • Experience in luxury sector
  • Excellent written and communication skills
  • Highly skilled and organised with Microsoft excel, power point, and work-flow management (or equivalent)
  • Willingness to be on call outside of normal hours
  • Ability to remain calm under pressure (but with discreet urgency and determination!)

Personal duties & responsibilities:

  • Extensive UK and Overseas personal travel arrangements for client, incl. UK driver, taxis, private jet and chartered aircrafts.
  • Director lives in North London with her partner. He will also require personal bookings and travel arrangements made on occasion.
  • Personal holiday management – creating itineraries, travelling to destination in advance to carry out checks, delivering briefs to staff to ensure property is sufficiently stocked. Otherwise, liaising with hotel concierge team constantly to ensure Director’s desires and requests are met.
  • Daily interaction with UK housekeepers, Director’s driver, household security to coordinate on Director’s movements
  • At least weekly interaction family PA, who manages the properties. Any problems with the house and contractor bookings are looked after by her, but you will be responsible for updating her on issues and ensuring they are fixed on time.
  • Organise payments, purchases, deliveries and couriers.
  • Make weekly bookings with makeup artists, hairstylists and fashion stylists.
  • Money management – as a secondary account card holder with online banking for Director’s personal account and family account, you will manage all payments, tax reports, standing orders and direct debits
  • Personal shopping for makeup and clothing (housekeeper will advise when stock is low).
  • Booking all personal appointments – healthcare/GP visits, beauty treatments and interior design,
  • Suggesting restaurants, clubs, bars, and securing bookings when requested
  • Organising vet appointments, grooming and dog walks for 2x pedigree dogs
  • Director has x6 horses at an Equestrian Center North of London. You are the point of contact with the yard manager when it comes to payments for farriers, livery fees, physio, vet visits, etc.
  • Director is a dressage rider, and trains 3+ days a week at the Equestrian Center. You will be required to arrange a schedule with her riding instructor, ensuring it is consistent with her business meetings/diary
  • Manage full scope of insurance with family brokers – car, health, pets, equine, property etc.
  • Monitoring, responding and distributing incoming communications including Phone, Email and Post on Directors behalf
  • Upon request, might be required to attend meetings with director/partner to take notes

New property in Great Missenden – exact duties TBC

  • Liaising with contractors for renovations
  • Ensuring smooth running of facilities
  • Working closely with project management you will assist with set up of management of the yard, along with initial hires.
  • Moving forward, you will be responsible with helping the yard manager booking contractors and making payments as and when required
